Improving Video Conferencing System for Conference Room
We were honoured to be part of a prestigious project to
upgrade the video conferencing system at the
office of Jalpaiguri’s (West Bengal) District Magistrate (DM). The process of
upgrading was affected by some major challenges.
However, we were able to overcome all challenges to
complete this project successfully. Let’s take a look at our work at the DM’s
office.
Challenges with the Previous Setup
The previous setup was
outdated and ineffective. We identified many problems with the existing setup
that caused communication problems. The video conferencing systems were
outdated. Meanwhile, the conference room equipment was not working properly.
The audiovisual
setup had poor internet connection. Moreover, modern tools like built-in
computer speakers and VoIP conferencing phones were missing.
The Upgrade Process
We completed some
important steps for upgrading the audio visual system for the
conference room.
Site Survey
We checked the site
to understand the requirements for upgrading. The office spaces were properly studied.
System Design
Up next, we selected
the AV systems that would be best suited for the DM’s office. We finalised the
system designs.
Equipment Procurement
High-tech video
conferencing tools were obtained for the office. We also purchased equipment
for upgrading the internet connection.
Cable Installation
Better internet
connectivity requires better cabling. Moreover, modern audio visual systems
also need better connectivity. So, we installed more powerful cables.
Equipment Installation
We installed
external speakers, microphones, VoIP phones, computers, and more efficient
video conferencing systems. We also installed the supporting equipment.
System Testing
After installation, it was now time to test all the systems correctly. We
tested the speakers, microphones, VoIP setup, display screens, audio-visual
equipment and other tools.
User Training and Documentation
We helped the staff
at the DM’s office to learn the new systems. We educated them about the tools
and their functions. We also provided basic computer training.
Support & Maintenance
We promised to
collaborate and provide support anytime it is required. We created long-term
relationships that would be mutually beneficial in the future.
Key Features of the New AV System
The new AV system
was far more technologically advanced. The latest Audio-visual tools and
equipment were installed. We installed mounted displays, high-performance speakers,
gooseneck microphones, and high-speed internet devices.
A very important
part was setting up control systems. These control systems could be easily
managed from laptops and computers. We created a much better audio visual system for the conference room.

Impact of the Upgrade
The upgraded setup
had great impact on the District
Magistrate’s Office of Jalpaiguri. The DM and other government officers were happy with the high-tech
setup that was created.
The first meetings
and conferences were conducted with great success. It was noticed that the
efficiency of the system had increased greatly. Important government meetings
could now be conducted with more clarity, better engagement, and faster communication.
The AV system
became more reliable with less technical issues.

is very happy to be a part of such a prestigious project for the Government of
West Bengal. The office of the district magistrate now had a high-tech audio-visual
setup that improved communication and collaboration between workers and
officers.
We would provide
future support and maintenance for this new AV setup. We solved all the
previous communication problems.
We created a setup that can be easily maintained and upgraded, keeping in mind long-term factors.
